Gifts & payments
Record any kind of gift, fix it, refund it, deposit it
- Record a gift (card, check, cash, OJC, Matbia, Zelle, other)
The one form for every gift: charge a card, or log cash, a check, a charity card, a voucher, Zelle or anything else. Pick the person, the amount and how they paid.
8 steps · Office staff - Record a check (and deposit it later)
Log a check with its number and date. It waits on the Deposits page until you take it to the bank, then you mark it deposited and cleared.
6 steps · Office staff - Record cash
Log cash so it counts in the donor's giving and gets a receipt. It waits on the Deposits page until you bank it.
4 steps · Office staff - Record a Zelle payment by hand
When a Zelle payment comes into your bank, record it on the right person so it counts and gets a receipt. If you use the Zelle inbox, this happens by itself.
5 steps · Office staff - Enter gifts one after another (Save & next person)
Entering a pile of gifts for the same campaign? “Save & next person” saves each gift and keeps the campaign, designation, location, fundraiser and payment type for the next one.
4 steps · Office staff - Enter a stack of checks at once (batch entry)
Type a whole pile of checks, vouchers or cash on one screen — one row each — and save them together. Each gets its own receipt number.
5 steps · Office staff - Deposits: checks and cash to the bank, cleared or bounced
Giving → Deposits lists every check, cash gift and voucher not yet deposited, and the ones waiting to clear. Print it as your deposit slip and mark them as you go.
6 steps · Office staff - A check bounced
Mark the check bounced so it comes off the donor's totals and off any pledge, and the team gets an alert. If it's deposited again and clears, it counts again.
5 steps · Office staff - One payment toward two (or more) pledges
A donor sends one check that should pay two commitments. Split it on the gift form: Yahiv divides it and sends one receipt for the whole payment.
4 steps · Office staff - Fix a gift entered on the wrong person
Move a gift to the right person in a few clicks. It works for card gifts too; the receipt number stays the same.
4 steps · Office staff - Change a gift's date, amount, check number or campaign
Typed the wrong amount or date on a cash or check gift? Fix it on the gift's page. Card gifts can't be changed — refund and record again instead.
3 steps · Office staff - Move many gifts to a campaign at once
Tick several gifts on the Gifts list and put them all under one campaign, designation, location or fundraiser in one click.
3 steps · Office staff - Void or refund? Which one to use
Void a cash or check gift that was entered by mistake. Refund when money really goes back to the donor — card refunds go back through the processor.
5 steps · Owners & admins - Refund part of a card gift
Give back only some of a card gift — for example the extra $18 of a $198 charge. The rest stays as the donor's gift.
4 steps · Owners & admins - Add the processing fee to a card gift you enter
When a donor on the phone says “add the fee”, tick one box on the gift form. Yahiv adds exactly enough that you receive the full gift after the processor's cut.
5 steps · Office staff - Receipts: automatic, resent, printed and mailed
How receipts reach donors: automatically by email or text, resent from a gift, or printed and mailed for people who want paper. Year-end statements are separate.
5 steps · Office staff - Resend a receipt
A donor lost their receipt or never got it? Send it again by email, text or WhatsApp from the gift's page.
3 steps · Office staff - Print a receipt
Print one receipt to hand to a donor, or print a whole pile for people who want their receipts by mail.
4 steps · Office staff - A giving statement for one person (year to date)
Print or save a statement of everything one person gave this year or last year — for their taxes or when they ask “how much did I give?”.
4 steps · Office staff - Non-cash gifts (stock, goods, services)
Record a gift of stock, sefarim, catering, a car or other property. The receipt describes what was given; the value you enter is for your own reports.
4 steps · Office staff - Stock & crypto gifts
Give donors a page with your brokerage and wallet details where they tell you what they're sending. When it arrives, one click records it and sends the receipt.
