Enter a stack of checks at once (batch entry)
Type a whole pile of checks, vouchers or cash on one screen — one row each — and save them together. Each gets its own receipt number.
- 1
Open batch entry
Click “Record” → “Batch of checks”. The page is called “Batch entry”.
Record → Batch of checks. - 2
Settings for every row
In “Apply to every row (optional)”, pick the Campaign, Designation, Location or Fundraiser if they're the same for the whole pile. In “Checks / cash in this batch are”, choose “Not deposited yet”, “Deposited” or “Cleared”.
These apply to every row. - 3
Fill in the rows
For each check: find the Donor, type the Amount, choose the Type (Check, Charity voucher, Cash, OJC / Matbia / charity card, Zelle, Other…), the Check / voucher # and the Date.
One row per check. - 4
Add more rows
Click “+ 5 rows” as often as you need. New rows copy the last row's type and date. Click ✕ to delete a row.
Add five more rows. - 5
Check the total and save
Compare “Ready: … · Total $…” with your adding-machine tape. Click “Save … payments”.
Save them all at once.
Tips
- Rows without a donor or an amount are skipped, so half-filled extra rows don't matter.
- Batch entry doesn't send receipts. Send them from each gift, or mail them from Giving → Receipts to mail.
- Up to 500 rows can be saved at once.
If something isn't working
The save button is grey.
No row is ready yet. Each row needs a donor picked from the list and an amount.
It says “… saved. Row 3: …”.
The other rows were saved; only the rows listed had a problem. Fix them in a new batch or one by one — don't save the whole batch again or you'll get doubles.
An “Other…” row won't save.
For Other, type what it was in the box under Type.
