  1. 1

    Photograph the checks

Lay each check flat on a dark table in good light. One check per photo, the whole check in the picture.

    Upload the photos here.
  2. 2

    Upload 25 at a time

Record → "Scan checks" → choose up to 25 photos → "Upload & read". More than 25? Do the next 25 after these.

Up to 25 at a time.
  3. 3

    Work top to bottom

"… to confirm" shows how many are left. For each: check the person and amount, pick the campaign, press Record.

  4. 4

    Watch the red notes

"This same photo was uploaded before" or "Check #… may already be recorded" — Skip it unless it's really a different check. If it is, tick "Not a duplicate — it's a different check".

  5. 5

    Take them to the bank

Open Giving → "Deposits". The recorded checks wait there. Make the deposit there when you go to the bank.

    Recorded checks wait under Deposits.

Tips

  • Prefer typing? Record → "Batch of checks" lets you enter a stack in one table without photos.
  • Keep the paper checks in the same order as you record them — easier to find one later.
  • Add a campaign to every check from an appeal so the appeal's totals are right.

If something isn't working

"Check #… looks like it was already recorded (…)".

Open the linked gift to compare. If it's a different check, tick "Not a duplicate" and Record again.

"Choose who the check is from".

Pick the person before pressing Record.

"Already recorded".
