A QuickBooks posting failed
When QuickBooks refuses a posting, Settings → Accounting shows "Last error". Here is what each kind of error means and how to fix it.
- 1
Read the error
Go to Settings → "Accounting". Next to "Connected" you see "last posted …" and, in red, "Last error: …".
The last error shows in red next to the connection. - 2
"QuickBooks connection expired — please connect again"
QuickBooks connections expire if not used for a long time, or when someone revoked access in QuickBooks. Press "Disconnect", then "Connect QuickBooks" and sign in again.
- 3
"QuickBooks said 401 …" or "403 …"
QuickBooks doesn't accept the connection or the user lacks rights. Reconnect, signing in as a QuickBooks admin.
Sign in again as a QuickBooks admin. - 4
"QuickBooks said 400 …" mentioning an account
An account Yahiv posts to was deleted or made inactive in QuickBooks. Choose the accounts again under "Accounts" (including per-campaign ones) and press "Save accounts".
Choose the accounts again. - 5
"Choose the deposit and income accounts first"
Fill in both "Money comes into" and "Income account (default)" and save.
Both accounts are needed. - 6
Post again
Press "Post to QuickBooks now". Days that already went through are not posted again; only what's missing is sent.
Tips
- Days are posted one at a time, so a failure halfway leaves earlier days posted. That's fine — the next try continues.
- If it keeps failing with the same message, send the red error text to Yahiv support.
If something isn't working
"Nothing new to post" but QuickBooks is missing a day.
Check "Start posting from" covers that day, and that the gifts went through (not pending).
A changed campaign isn't reflected in QuickBooks.
Posted gifts aren't re-posted when only their campaign changes. Ask your bookkeeper to move it in QuickBooks.
