Connect QuickBooks Online and match campaigns to accounts

Connect your QuickBooks Online company once. Then choose the accounts from your own chart of accounts, and Yahiv posts each finished day's giving as a journal entry every night.

Sign in to Yahiv

Before you start

  • You can sign in to QuickBooks Online as an admin of the company.
  • The "Connect QuickBooks" button only shows when QuickBooks is switched on for your Yahiv. If you see a note about "QBO_CLIENT_ID", ask whoever runs your Yahiv — you can still download files meanwhile.
  1. 1

    Open Accounting

    Go to Settings → "Accounting".

The QuickBooks Online card is at the top.
  2. 2

    Press "Connect QuickBooks"

Press "Connect QuickBooks". QuickBooks opens. Sign in, choose your company and allow the connection.

    Opens QuickBooks to sign in.
  3. 3

    Back in Yahiv

You come back to Accounting with "QuickBooks connected — now choose your accounts". The card shows "Connected (company …) · last posted never".

  4. 4

    Pick your accounts

The account boxes are now lists from your QuickBooks. Choose "Money comes into" (a bank account or Undeposited Funds) and "Income account (default)".

Choose from your own QuickBooks accounts.
  5. 5

    Map campaigns

Click "A different income account per campaign". For each campaign that has its own income account in QuickBooks, choose it. Leave "default" for the rest.

Map each campaign to an income account.
  6. 6

    Choose where to start

Fill in "Start posting from" — usually the first day not already in QuickBooks. Without a date, Yahiv starts 30 days back.

The first day Yahiv should post.
  7. 7

    Save and post

Press "Save accounts". Then press "Post to QuickBooks now" to post right away, or wait — it posts every night. You'll see "… day(s) posted to QuickBooks" or "Nothing new to post".

    Save, then post.
  8. 8

    Check in QuickBooks

In QuickBooks open the journal entries. Each one is numbered ND-date (for example ND-2026-09-14) with the note "Posted by Yahiv".

Tips

  • Today's gifts are posted once the day is over, in your time zone.
  • Each gift is posted once. If its amount changes later (a refund or void), a correction entry is posted.
  • Always fill in "Start posting from". Without it, Yahiv only looks back 30 days, so a gift backdated further than that would never be posted.
  • Close your months (Settings → Month closing) after posting, so nobody backdates a gift into a period your books already have.

If something isn't working

"Choose the deposit and income accounts first".

Pick both accounts in the Accounts card and press "Save accounts".

"QuickBooks connection expired — please connect again".

Press "Disconnect", then "Connect QuickBooks" again. Nothing is posted twice.

"That connection was for another organization".

You were signed in to a different Yahiv organization. Switch to the right one and connect again.
