Accounting: getting your giving into QuickBooks or Xero
Yahiv turns each day's giving into one journal entry — money in, against income by campaign. Download it as a file for QuickBooks Online or Xero, or connect QuickBooks Online and Yahiv posts it every night.
Before you start
- You need to be an Owner or Admin.
- Know which bank (or Undeposited Funds) account and which income accounts your bookkeeper uses.
- 1
Open Accounting
Go to Settings → "Accounting". There are three cards: "QuickBooks Online", "Accounts" and "Download journal entries".
QuickBooks, accounts, and downloads in one place. - 2
Choose the accounts
In "Accounts" fill in "Money comes into" (for example Undeposited Funds) and "Income account (default)" (for example Donations). Non-cash gifts like stock or goods have their own two accounts.
Where money lands, and the default income account. - 3
Different income per campaign (optional)
Click "A different income account per campaign" and choose an income account for each campaign that needs its own. Others use the default.
One income account per campaign, if you need it. - 4
Save
Press "Save accounts".
Save your choices. - 5
Get it into your books
Either connect QuickBooks Online (see "Connect QuickBooks Online") so it's posted every night, or download a file for any dates under "Download journal entries" and import it.
Download a file for QuickBooks or Xero. - 6
Match processor deposits
Card processors deposit gifts minus fees. Use Insights → "Payouts" to see which gifts are in each deposit and what the fees were.
Each processor deposit, with the gifts and fees.
Tips
- Each day is one journal entry: one line into the deposit account, and one line per income account.
- Days follow your organization's time zone.
- Refunds and voids after a day was posted are posted later as a "Refunds / corrections" entry.
- Processing fees aren't in the journal — record them from the Payouts page or your bank statement.
If something isn't working
You're sent to Home with "You don't have access to that page."
This page is for Owners and Admins. Ask one of them, or ask for your role to be changed in Settings → Team & roles.
QuickBooks says an account name doesn't exist (file import).
Type the account names in "Accounts" exactly as they are in QuickBooks, save, and download again.
