Month closing: lock a month's books
When a month's books are done, close it. Its totals are saved, and nobody can add, backdate or change gifts in it until an admin reopens it with a reason.
- 1
Open Month closing
Go to Settings → "Month closing". The last 13 months are buttons along the top; closed ones say "· closed".
Pick a month at the top. - 2
Pick the month
Click the month. You see its totals: "Gifts", "Refunds made", "Net", "Marked deposited", and a table by payment type.
Check the totals before closing. - 3
Close it
Press "Close …" (for example "Close September 2026") and confirm. The totals are saved with the close.
Close the month. - 4
What's locked
While closed, nobody can add or backdate a gift into it, change a gift's amount, date, person, campaign or commitment, void, split, bounce or restore one, or import gifts dated in it. Yahiv says "… is closed — gifts dated in it can't be added or changed. An admin can reopen it in Settings → Month closing."
- 5
Refunds still work
A refund of a closed month's gift still goes through — it counts in the month it's made.
- 6
Changes after closing
The "Changes after closing" table lists every close, reopen and anything done to a closed month's gifts afterwards.
An audit trail of closes and later changes.
Tips
- A month can be closed from the 1st of the next month.
- Months follow your organization's time zone: a gift at 11 pm on the last day belongs to that month.
- Every close and reopen is also in Settings → Activity log.
If something isn't working
"… hasn't ended yet — a month can be closed from the 1st of the next month".
Wait until the month is over.
"… is already closed".
Someone closed it already — refresh the page.
"… is closed — gifts dated in it can't be added or changed."
That month is closed in Settings → Month closing. An admin can reopen it with a reason.
