Someone passed away or asked not to be contacted
Stop all receipts, reminders and messages to a person while keeping their giving history. Yahiv has no separate “deceased” switch, so you combine a few settings.
- 1
Don't delete the person
Keep the record — their gifts, receipts and totals stay correct, and the family may give in their memory. Open the person and click “Edit details”.
Open Edit details. - 2
Stop email, texts and mail
Under Contact, tick “Do not email”, “Do not text” and “Do not mail”, and untick “OK to WhatsApp”. Bulk messages, reminders and mailings skip them.
Tick Do not email, Do not text and Do not mail. - 3
Turn off receipts and statements
Under “Receipts & automatic mailings”, set Receipts to “Don't send receipts”, Giving summary to “Off” and Bill for open commitments to “Off”.
Turn off receipts, summaries and bills. - 4
Mark it clearly for staff
Add a tag such as “niftar” (or “do-not-contact”) in Tags, and write a Contact note like “Passed away 5 Shevat — do not call”. Callers see the note on the person's page.
A tag lets you filter them out of lists. - 5
Save
Click “Save changes”. Red chips “no email”, “no texts” and “no mail” now show on the profile.
- 6
Close open pledges and recurring gifts
If they had an open pledge, cancel it or write it off (see “Write off a pledge”). If they had a recurring gift, open it and click “Cancel”.
- 7
Add the yahrzeit for the family (optional)
On a family member's page, in “Shul & dates”, click “+ Add yahrzeit / birthday / simcha” to remind the family each year.
Tips
- When choosing who to message, use the Filters with Tags to leave out “niftar”.
- Receipts for gifts the family gives in their memory go to the family member who gave, not to this record.
If something isn't working
They still got a reminder text.
Check that “Do not text” is ticked and saved. A staff member using “Send anyway” on a pledge only overrides contact limits, not opt-outs — but someone may have sent it before you saved.
They still appear on call lists.
Call lists are built from views and tags. Add the “niftar” tag and leave that tag out when you build the list.
