Send a bulk text, email or phone call
Send one message to many people at once — a text, WhatsApp, email or recorded phone call — with each person's name and totals filled in for them. Yahiv shows you exactly who will get it before anything goes out.
Before you start
- Your login needs the "Send bulk texts, emails & calls" permission (Settings → Team & roles).
- For real sending, email and texting must be set up under Settings → Email, SMS & WhatsApp. Without it, messages are only written down ("logged"), not sent.
- 1
Open Outreach
Click "Outreach" in the menu. The page is called "Send a message". At the top it says who the message will go to — at first "Audience: All donors".
Outreach is in the main menu. - 2
Choose who gets it
Use the first box to pick a group: "All donors", "Gave this year", "LYBUNT", "Lapsed (SYBUNT)", "First-time", "Recurring", "Open pledge balance" or "Never gave". You can also pick a tag, type a city, or a minimum lifetime amount in "Lifetime ≥ $". Then press "Choose audience". The "Audience:" line updates with the number of people.
Pick the group, then press "Choose audience". - 3
Pick text, WhatsApp, email or call
Click "Text message", "WhatsApp", "Email" or "Phone call". Each one shows how many people can be reached that way, for example "(212 reachable)".
Each channel shows how many people it can reach. - 4
Write the message
Type your message. For email, also fill in the "Subject". To add a person's details, click a button next to "Insert:" — for example "First name" adds {{first_name}}, and "Open pledge balance" adds {{open_balance}}. Each person gets their own details.
Click "Insert:" buttons to add each person's name or balance. - 5
Read the preview
Under the message you see "Preview for first recipient" — the message as the first person will get it. Check that the name and amounts look right.
The preview fills in the first person's details. - 6
Check "Before you send"
The "Before you send" box shows how many will get it, who is left out and why (for example "No cell phone" or "Asked for no texts"), and, for texts and calls, the estimated cost.
"Before you send" shows who gets it and who doesn't. - 7
Tick the box and send
Tick "Send to … donors now" and press "Send texts" (or "Send emails" / "Send calls"). A green note tells you how many were sent, failed or skipped.
Tick the confirmation box, then press Send. - 8
Big lists: press Send again if asked
A very big send works for about four minutes at a time. If you see "Sent … so far — about … still to go. Press Send again to continue", just press Send again. Nobody gets the message twice.
Tips
- From People you can tick people and press "Message" to send to just them (up to 300 at a time).
- One send can go to up to 5,000 people.
- Over Shabbos and Yom Tov (when the Shabbos guard is on) messages wait and go out after havdalah.
- Opted-out people are always skipped. You never need to remove them by hand.
If something isn't working
It says "Tick the confirmation box to send".
Tick "Send to … donors now" just above the Send button, then press Send again.
The note says messages were "logged only".
Email or texting isn't connected yet, so nothing really went out. An admin connects it in Settings → Email, SMS & WhatsApp — see "Messages say logged only".
"Too many bulk sends this hour".
Yahiv allows 30 bulk sends an hour per organization. Wait a little and try again.
The audience is bigger than I expected.
Read the "Audience:" line at the top. If it says "All donors", your filter wasn't applied — pick the group in the first box and press "Choose audience".
