See who gets a message — and why some people are left out

Before any bulk message goes out, Yahiv shows how many will get it, the first few names, and each reason someone is skipped. Here is how to read it.

  1. 1

    Choose the audience and channel

In Outreach choose the group and press "Choose audience". Then click the channel ("Text message", "WhatsApp", "Email" or "Phone call"). The "Before you send" box changes for each channel.

The box changes when you change the channel.
  2. 2

    "… will get it"

The first line says how many will get it, with up to five names, then "and … more".

How many will get it, with a few names.
  3. 3

    "Left out:"

Each grey chip is a reason and a count. For email: "No email on file" or "Asked for no email". For texts: "No cell phone" or "Asked for no texts". For WhatsApp: "No cell phone" or "Hasn't agreed to WhatsApp". For calls: "No phone number", "Asked not to be called" or "Opted out". "Reached the contact limit" means they already heard from you as often as your limit allows.

Each chip is a reason, with how many people.
  4. 4

    See the names

Click "who" under the chips to see up to eight names and their reason. Open the person in People to fix a missing email or phone.

"who" lists the people left out.
  5. 5

    People over the contact limit

If some people reached your contact limit, a yellow box says so. You may tick "Send to them anyway" — then you must type why (it's kept on record). Use this only for something urgent, like "dinner moved".

Sending past the limit needs a reason.
  6. 6

Check the cost for texts and calls

For texts, "Estimated cost" shows the total and the number of text pieces. For calls, it's about one minute per person. The first few dollars each month are free (shown there).

Tips

  • Opt-outs come from the person's profile ("Do not email", "Do not text") or from them replying STOP to a text.
  • The "do-not-call" tag on a person keeps them out of phone calls.
  • WhatsApp only goes to people who ticked yes or wrote to you there.

If something isn't working

Someone I know has email is listed as "No email on file".

Their email may be under a spouse or a second record. Open the person and add it, or combine duplicates.

"Hasn't agreed to WhatsApp" for everyone.

Tick "OK to WhatsApp" on people who agreed. People who write to you on WhatsApp are ticked by themselves.

The cost looks high.

Shorten the text. Hebrew letters and emoji make each piece 70 characters instead of 160.
