Set up membership plans and run dues
Create plans (e.g. Family $1,200 a year), add members, and Yahiv bills the dues every period by itself — by card if they chose that, otherwise by email or text.
Before you start
- An Owner or Admin to create plans. Staff who can record gifts can add members.
- 1
Open Membership
Click "Programs", then "Membership". The boxes show "Active members", "Behind on dues", "Owed in dues" and "Dues per year".
Membership at a glance. - 2
Create a plan
Scroll to "Plans". In the empty row type a name ("Family membership"), the "Dues $" (1200) and choose "Monthly", "Quarterly" or "Yearly". Click "Add plan".
Name, amount and how often. - 3
Add a member
At the top, pick the person, choose the plan, and the first dues date. Click "Add member". You see "Member added".
Pick the person, the plan and the start. - 4
When the first bill is made
If the start date is today or earlier, the first dues bill is made right away. If it's in the future, billing starts then. Earlier periods are never back-billed.
- 5
Each period after that
On the "Next dues" date Yahiv makes a dues commitment like "Family membership dues — year from …". It's charged to the card if they chose that, otherwise it waits to be billed.
- 6
End a membership
Click "change" on the member, then "End membership" and confirm. No more dues are billed. Past members are under "past members".
Tips
- To charge dues to a card automatically, see "Charge dues to a card automatically".
- Dues commitments show on statements and the member's profile like any other commitment.
- Dues aren't billed over Shabbos and Yom Tov when that's turned on — they go out afterwards.
If something isn't working
"Already an active member"
This person already has an active membership. End it first if you're changing plans, then add them with the new plan.
Nobody on a plan was billed this year.
Check the plan isn't set to "Closed" under Plans. Dues are only billed on plans that are open — "Closed" also stops billing the members already on it.
"Enter the dues amount"
"Dues $" can't be empty or 0.
