Moving from Donary: which exports to download
Moving from Donary? Export your donors, transactions, pledges and recurring schedules (and the campaign, reason, collector and location lists if you can), then drop them all into Yahiv at once.
Before you start
- You can still sign in to Donary.
- You are an Owner or Admin in Yahiv.
- 1
Turn on the extra payment columns
Donary's Excel export has only the columns that are switched on. In Donary go to Transactions → Payments → “Fields” and tick Account #, Campaign, Reason, NOTE, Amount applied, Email and Phone Number (leave the ones already on as they are).
- 2
Export all payments
Still on Payments, set the date filter to all dates (not “Last 7 Days”), then click “⋯” → Excel. Yahiv brings in card, check, cash, OJC / Matbia / Donors' Fund and Zelle payments and sorts them by type. Declined and voided payments are left out by themselves.
- 3
Export pledges and schedules
Do the same on the Pledges tab (in “Fields” tick Account #, Campaign, Reason and NOTE; all dates; “⋯” → Excel) and on the Schedules tab (tick Account # and Campaign; “⋯” → Excel).
- 4
Export your donors
Go to Lists → Donors → “Fields”, tick everything with names and contact details (English and Yiddish names, phones, email, address, father…), show all donors (no filters) and click Excel.
- 5
Export the lists
Export the Campaign list, Reason list, Collector list and Location list as well. Yahiv recognises them by name (Campaign_List, Reason_List, Collector_List, Location_List). If you can't, don't worry — campaigns, designations and fundraisers named in the transactions are created anyway.
- 6
Drop them all into Yahiv
Go to Settings → Import and drop all the files in at once. At the bottom it should say “Looks like an export from Donary”.
Drop all your Donary files here together. - 7
Check each file and the columns
Make sure each card says the right kind (People, Gifts / transactions, Pledges, Recurring gifts). Open “Columns” and check that Jewish first and last names went to the Hebrew name boxes and the account number to “Donor ID / account #”.
- 8
Answer the duplicates and import
Click “Import everything”, answer the likely duplicates, and let it run.
- 9
Check the totals
Click “Review this import” and compare the numbers with Donary — see “Check an import against your old system”. “Per person, against Donary's totals” compares each person's gifts and what they still owe with Donary's own Payments, Open Pledges and Scheduled columns.
- 10
Give campaigns to the gifts that have none
If the payments were exported without the Campaign column, only payments toward a pledge or a recurring schedule come in with a campaign (export again with Campaign ticked and import the same files again to fill them in). On the import's page, “Gifts without a campaign” shows how many; click “Choose a campaign for these”, narrow them down (dates, payment type, what they came in through — like Scheduler or a Donary Pocket — or fundraiser), check the count and total, pick the campaign and click “Apply”. Repeat for each group.
- 11
Set up recurring gifts again
Cards can't be moved between systems. Each recurring gift becomes a task — see “Set up recurring gifts again after moving in”.
Tips
- People keep their Donary account numbers when those numbers are free.
- With the Account # column, every payment, pledge and schedule goes to the person with that account number — names aren't used at all. An account number that isn't in the donor file becomes a new person (made from the row's name, email and phone) and later rows with it find them. Details on a payment row never change an existing person.
- With the Amount applied column, payments go toward pledges exactly as in Donary: 0 applied → not on a pledge; part applied → the payment is divided, that part on the pledge (the one in the payment's campaign first, then the oldest one with room) and the rest a general gift. Without it, Yahiv works the links out itself (below).
- A campaign written “Parent / Child” (like “Building Fund / Expansion”) becomes a sub-campaign under its parent. Tags on a payment row are added to the person. Hebrew Date and Created Date & Time are ignored (Yahiv works out the Hebrew date itself). A payment in another currency uses Donary's Converted Amount (or your rate in Settings) and keeps what was given in the other currency.
- Gifts in Donary's “DEFAULT” account (no donor) go under one person called “Anonymous (imported)”.
- Donary's pledge “Paid” also counts payments still to come on a recurring schedule put on the pledge (the schedule's campaign shows the amount, like “Expansion(15000.00)”). Yahiv puts only the payments really received toward the pledge — the pledge's own schedule payments first, then the person's payments closest after the pledge date — and the scheduled part stays open. The “Set up recurring” task says how much is still to come toward which pledge.
- If the pledge is older than all the payments in the file, Yahiv adds one “paid in the old system” line so the balance is right (it isn't counted as a tax-deductible gift).
- Two people with the same name stay two people when they have different account numbers in Donary. Pledge and payment rows name people only by their Jewish name, so a row goes to the person whose name is written exactly the same way (with or without מו"ה … הי"ו), then to the one whose Donary totals fit; if it still can't tell, it's listed under “Rows that need a look”.
- Imported before these fixes? Import the same Donary files again — nothing is added twice, and the earlier result is fixed in place (people split back out, pledge payments re-linked, sub-campaigns set, campaigns filled in).
- Do a test run with sample data first, then remove the sample data before the real import.
If something isn't working
It says “Looks like an export from Spreadsheet” instead of Donary.
That's fine — the columns are still matched. Just check them carefully.
Some gifts went to “Anonymous (imported)”.
Those rows had no donor name or ID in the file. Move them to the right person with “Fix a mistake” on each gift, or fix the file and import again.
Pledge balances don't match Donary.
Make sure the pledges file has a paid or balance column, that the transactions file covers all dates, and that you imported the Schedule (recurring) list too — Donary's “Paid” includes scheduled payments that haven't come in yet; Yahiv keeps that part open. Best of all, export the payments with the Amount applied column ticked — then the links follow Donary exactly. Then import the same files again to re-link.
All campaigns show $0 except one.
The payments were exported without the Campaign column. In Donary tick Campaign under Transactions → Payments → “Fields”, export again and import the same files again — campaigns are filled in, nothing is added twice. Or use “Choose a campaign for these” on the import's page. If a campaign is part of a bigger one (a sub-campaign), its totals also count in the bigger one.
A pledge is missing — two people with the same name became one.
Import the same files again: people who had different account numbers in Donary are split back out, with their pledges and payments.
