Import your data from Donary, DonorFuse or Excel

Bring your people, families, pledges, every past gift and recurring gifts into Yahiv by dropping in the files your old system exports. You check everything before it's imported, and can undo it after.

Before you start

  • You are an Owner or Admin.
  • You have exported your data from the old system (Excel, CSV or OpenDocument files).
  1. 1

    Open Import

Go to Settings → Import. The page is called “Move your data in” and lists what to export from your old system.

    Settings → Import.
  2. 2

    Drop in all your files

Drag your files onto the box “Drop your exports here, or click to choose”, or click it and pick them. Add people, transactions, pledges and recurring files all together. Every tab of a workbook is read.

Drop all your export files here.
  3. 3

    Check what each file is

Each file or tab gets a card. Next to “This is”, Yahiv shows what it thinks it is: People, Gifts / transactions, Pledges, Recurring gifts, Family links, a campaign / designation / fundraiser / location list, or Don't import. Change it if it's wrong.

What to export, and the drop box.
  4. 4

    Check the columns

Click “Columns: … matched — check or change”. For each of their columns you see an example and where it goes in Yahiv. Change any that are wrong, or choose “— ignore —”. A yellow line warns about rows that will be skipped (for example “12 rows have no usable amount”).

  5. 5

    Fill in, don't overwrite

Leave “Fill in missing details for people who are already here” ticked so existing people get missing phones, emails and other details. Good to know: when the file has an address for someone already here, their mailing address is replaced with the file's address. Other details they already have are not changed. Untick it if your file's addresses are older than Yahiv's.

  6. 6

    Import everything

Click “Import everything”. First Yahiv looks for likely duplicates and shows them to you (see “Likely duplicates when importing”). Then a bar shows the progress, file by file.

When files are added, “Import everything” appears at the bottom.
  7. 7

    Read the result

“Import finished” lists what was added: people, gifts, pledges, new campaigns and more, and how many rows need a look. Click “Review this import” to check it against your old system.

Tips

  • Upload everything together — people are filed first, then pledges, then gifts, so gifts find their people and pledges.
  • Importing the same files again won't create duplicates.
  • No receipts or messages are sent during an import.
  • Every import can be undone from its review page.

If something isn't working

It says “Couldn't find any rows in that file”.

The file is empty or only has a title. Open it in Excel to check, then export again from the old system.

It says a file is larger than 40 MB.

Split it into smaller files (for example one per year of transactions) and upload them together.

A warning says the people would go over your plan.

Contact Yahiv to raise your plan's limit before importing. People already here aren't counted twice.

It says “Too many imports this hour — try again later”.

Wait an hour. Large imports run in pieces, so this is rare.

It stopped part way with an error.

What was imported so far can be reviewed or undone from the import's page. Fix the file and import again — rows already in Yahiv are skipped.
