Approve or turn down a request (two-person approval)

When your organization uses two-person approval, a refund, void, cancelled pledge or deletion waits under Approvals until a different Owner or Admin approves it.

  1. 1

    Someone asks

When someone refunds, voids, cancels a pledge or removes people (as set up), it isn't done yet. They see “Sent for approval — a second admin has to approve…”. Other Owners and Admins get an email and a phone notification.

  2. 2

    Open Approvals

Click the “Waiting for approval” tile on Home, open Approvals from the Alerts page, or press Ctrl+K and type “approvals”.

    Approvals.
  3. 3

    Read the request

Each request shows what it is (for example “Refund $360 of receipt #1042 (Levin)”), who asked and when. Click the summary to open the gift or pledge itself.

    Requests waiting for a decision.
  4. 4

    Approve

Optionally type a note and click “Approve”. It's carried out right away and the person who asked is told.

Approve, or turn down with a reason.
  5. 5

    Or turn it down

Type a short reason in “Why not? (short)” and click “Turn down”. The person who asked sees your reason.

  6. 6

    Withdraw your own request

If you asked, your request shows “Waiting for another admin” with a “Withdraw” button.

Tips

  • A request nobody decides within 7 days expires; the person who asked is told and can ask again.
  • “Decided” at the bottom lists everything approved, turned down, withdrawn or expired.
  • Everything is in the Activity log.

If something isn't working

I can't approve a request.

You can't approve your own, and only Owners and Admins can decide. Staff see only their own requests.

It says the request expired.

Nobody decided within 7 days. Ask again from the gift or pledge if it's still needed.
