Team members and who sees what
Give each person on your team the right access: Owners and Admins see everything; for Staff and Fundraisers you decide exactly what they can see and do.
Before you start
- You are an Owner or Admin.
- 1
Open Team & roles
Go to Settings → Team & roles. You see everyone with access, their email and role.
Settings → Team & roles. - 2
The four roles
Owner — everything, including payment processors and API keys. Admin — everything except processors and API keys. Staff — starts with people and giving access; you adjust it. Fundraiser — starts limited to their own results; you adjust it.
Team & roles. - 3
Open someone's access
Under a Staff or Fundraiser, click the grey line that ends with “Edit access”. It shows a summary like “People: edit · Giving: record · downloads · outreach”.
Click “Edit access”. - 4
People and giving
“People directory”: No access, Can view, or Can view & edit. “Gifts, commitments & recurring”: No access, Can view, or Can view & record.
People and gifts access. - 5
Extra permissions
Tick what they may also do: Refund, void & cancel commitments · Download spreadsheets · Send bulk texts, emails & calls · See reports & statements · See the chesed fund & gemach · Only see gifts credited to their linked fundraiser record.
Extra permissions. - 6
Campaigns they can see
Choose “All campaigns” or “Only these:” and tick campaigns. Limited people see only those campaigns' gifts, commitments, reports and alerts, and must record gifts into one of them.
All campaigns, or only some. - 7
Save
Click “Save access”. You see “Access updated”. The change works the next time they open a page.
Tips
- Give the least access that lets someone do their job — especially for downloads and refunds.
- Every sensitive action is listed in Settings → Activity log.
- Your plan may include a set number of team logins — see Settings → Plan & billing.
If something isn't working
It says “Owners and admins always have full access”.
Access can only be adjusted for Staff and Fundraisers. Change the role first if needed.
Someone still sees a page after I removed access.
Ask them to refresh the page. If they're on the phone app, have them close and open it.
