  1. 1

    Close every month

    Close each month first.
  2. 2

Totals by payment type and campaign

Insights → Summary with "Custom" dates for the year, "Group by payment type", then "Group by campaign". Press "Export payments" for the full list.

  3. 3

    Journal entries

If you don't use the QuickBooks connection, download the year's journal entries in Settings → Accounting.

    Download the year's journal entries.
  4. 4

    Schedule B

    Insights → "Schedule B (990)" → "Download spreadsheet".

  5. 5

    Restricted funds

Insights → "Fund balances" — print or screenshot it.

  6. 6

    Open pledges

Report builder → Commitments → "Only with a balance" → "Total it up by" Campaign. Accountants call these pledges receivable.

    Pledges still owed, per campaign.
  7. 7

    Year-end statements status

Insights → "Year-end packet" → "Download the run (CSV)" shows that every donor got a statement.

Tips

  • Israeli organizations: also the Tax Authority donor report (Settings → Israel: Tax Authority report).
  • UK: the Gift Aid schedule (Insights → Gift Aid (UK)).

If something isn't working

Numbers changed after I sent them.

Someone changed a gift in an open month. Close the months first, then send.

The accountant wants per-donor totals.

Report builder → Gifts → "Last year" → "Total it up by" Person → Download.
