Year-end packet: every donor's statement in one press
Send every donor's tax statement for the year — by email, mail or text, in their own language — and follow it on a status board. Running it again only sends to people who weren't in it yet.
Before you start
- Email is set up. For mailed letters, set up Settings → Mailed letters (or you'll print them yourself).
- 1
Open the packet
Open Insights → "Year-end packet". Choose the "Year" and press "Show".
Pick the year. - 2
Read "Before you start"
You see "Donors with deductible giving", how many go "By email", "Mailed for you" or "Mailed (print here)", "By text", "No way to reach", and "Not sent yet".
How each person will get it. - 3
Fix "No way to reach" first (optional)
Add emails or addresses for those people now, so they're included.
People with no email (or who opted out of email). - 4
Press Start
Press "Start" and confirm. It runs in the background — you can leave the page. Over Shabbos and Yom Tov it waits.
Start sending. - 5
Watch the status board
"Sent", "Queued for mail", "Failed", "No contact" and "Still to go". The page refreshes by itself while sending.
Follow the run. - 6
Print the mail ones
If you print in-house, press "Print queued statements (PDF)" — one letter per person, the address placed for a window envelope. After mailing, press "Mark printed ones mailed".
- 7
Retry failures
Press "Retry failed (…)". "Needs a look" lists people who failed or have no contact, with why.
- 8
Late gifts
A late December check entered in January? Press "Send to the … new" — only people not sent yet get one. Nobody gets two.
Tips
- The year follows your organization's time zone.
- Statements don't count toward contact limits.
- "Download the run (CSV)" and "Schedule B …" are on the same page.
If something isn't working
Totals look like the wrong year for some gifts.
See "Statements show the wrong year".
Many "Failed".
Usually email isn't connected or addresses bounce. Fix it, then press "Retry failed".
