Call lists (phonathon) for volunteers
Make a list of people to call, split it between callers, and give them a script. Callers see one person at a time with everything they need, and record what happened with one tap.
Before you start
- Volunteers have a login (invite them as Fundraisers under Settings → Team & roles) — they see only their own calls.
- 1
New call list
Outreach → "Call lists" → "New call list".
Make a new call list. - 2
Name and campaign
Name it (e.g. Pesach appeal calls). Pick the campaign — pledges made on the phone go there.
Name the list. - 3
Who to call
Pick a saved view, or a group (e.g. "Gave last year, not this year", "Owe on a pledge"), or a tag. Or on People tick people and press "Call list".
Pick a group to call. - 4
Callers and script
Tick the callers (people are split evenly). Write the script in "Script / what to say". Press "Make the list".
The script callers see on every call. - 5
Callers press Start calling
On the list's card: "Start calling (… left)". They see one person: phones (tap to call), giving history, open balance, recent notes, the suggested ask and the script.
Each list shows how many are left. - 6
Record what happened
"Pledged ✓" with the amount (becomes a real pledge), "💳 Paying now — take the payment", "No answer", "Left a message", "Not this time", "Wrong number", "Call back later" (with a date — it becomes their task), or "Asked not to be called again".
- 7
Watch progress
Press "Results" on the list: progress by caller, and you can move people to another caller.
Tips
- Every call is logged on the person's timeline.
- Finished? Archive the list — it moves to "Finished lists".
- Turn on Personal ask amounts so callers see a "Suggested ask" that fits each person.
If something isn't working
A volunteer sees "No calls assigned to you right now."
They weren't ticked as a caller, or all their calls are done. Move people to them on the Results page.
A volunteer isn't in the Callers list.
Invite them first under Settings → Team & roles.
