Set up automatic receipts by email and text
Choose whether every payment gets an email receipt, a text receipt, or both — and how each person's own choice changes that.
Before you start
- Email and texting are set up under Settings → Email, SMS & WhatsApp.
- 1
Open Amounts & messages
Go to Settings → "Amounts & messages" and find "Send automatically".
"Send automatically" sets the defaults. - 2
Tick the receipts you want
Tick "Email a receipt for every payment" and/or "Text a receipt for every payment". Press "Save settings" at the bottom.
Tick email, text, or both. - 3
Staff can untick per gift
When someone records a gift, "Email receipt" and "Text receipt" are ticked to match these settings. They can untick for one gift.
The gift form follows your defaults. - 4
Each person's own choice wins
On a person's profile, "Receipts & automatic mailings" → "Receipts" can be "Your usual settings", "Email only", "Text only", "WhatsApp only", "Printed & mailed" or "Don't send receipts".
Each person can have their own receipt choice. - 5
Check that it went
Open any gift: the "Receipt sent" line shows the date and time, or "Not yet".
Open a gift to see "Receipt sent". - 6
Send one again
On the gift's page press "Email receipt", "Text receipt" or "WhatsApp receipt" to send it again.
Tips
- Receipts never count toward contact limits.
- A split payment gets one receipt for the whole amount.
- No receipt goes out for a declined, voided or still-pending gift — it goes once it clears.
- People set to "Printed & mailed" are listed under Giving → Receipts to mail.
If something isn't working
A donor says they didn't get it.
See "A donor didn't get their receipt" — it walks through every reason.
The note says messages were "logged only".
Email or texting isn't connected yet, so nothing really went out. An admin connects it in Settings → Email, SMS & WhatsApp — see "Messages say logged only".
