Merge two duplicate records of the same person
When the same person was entered twice, combine the two records into one. All gifts, pledges, recurring gifts, cards, family links and messages move to the record you keep.
Before you start
- You are an Owner or Admin.
- 1
Find possible duplicates
On People, click “Find duplicates” on the left. The “Possible duplicates” page groups people with the same email, same phone, same English name or same Hebrew name.
“Find duplicates” on the People page. - 2
Open a pair
Click the names to check them. If they are the same person, click “Merge first two”. Or, on People, tick exactly two people and click “Combine 2”.
Each group shows why they look alike. - 3
Choose which record to keep
The “Combine duplicate records” page shows both side by side: account #, English and Hebrew name, cell, home phone, email and address. Choose “Keep this one” above the record you want to keep — usually the one with the right details and older account number.
- 4
Combine
Click “Combine duplicate records” and confirm. Everything moves to the kept record, and empty details on it are filled in from the other one. You land on the kept person's page with “Donors merged”.
Tips
- Nothing on the kept record is overwritten — only empty boxes are filled in from the other record.
- The other record's page shows “This person was combined into another record” with a link, so old links still lead somewhere.
- When importing, Yahiv checks for duplicates before anyone is added — see “Likely duplicates when importing”.
If something isn't working
It says “Select exactly two donors to merge”.
Tick exactly two people on the People list, no more and no less, then click “Combine 2”.
I merged the wrong people.
A merge can't be undone and merged records don't go to the Recycle bin. Contact Yahiv support right away; meanwhile you can move individual gifts back with “Fix a mistake” on each gift.
I don't see “Find duplicates” or “Combine 2”.
Merging is for Owners and Admins only.
